Who we are

roantek.com is operated by RoanTek, LLC, a TODO(legal): state of formation limited liability company ("RoanTek", "we", "us").

You can reach us about anything in this policy at admin@roantek.com.

What this policy covers

This policy explains how we handle personal information on the roantek.com website, including www.roantek.com.

It does not cover our apps. PastPing, Hauntifi, ShadowPlaces and PartnerUnity each have their own website and their own privacy policy, which describe how those products handle your information. Links from this site to those websites are covered by their policies once you arrive there.

Information we collect

We collect personal information only in the following ways:

• Contact form: your name, email address, the topic you choose and your message.
• Waitlist form: your email address, which waitlist you joined (PartnerUnity or upcoming apps) and your consent to be emailed.
• Spam protection: a hidden form field that people never see, the time taken to fill in a form, and your IP address, which is used briefly in memory to limit repeated submissions and is not logged.
• Analytics, only if you allow it: how the site is used and how well it performs, as described in "Analytics" below.
• Your preferences, stored in your own browser: your light or dark theme choice and your cookie choice.

How we use your information

We use contact form messages to read and reply to you. Each message is delivered as an email to our company mailbox, admin@roantek.com, through Microsoft 365. The website does not store your message in a database; the email in our mailbox is our record of it.

We use waitlist sign-ups to tell you when a product launches. Your email address is added to our mailing list with Mailchimp. You must confirm it through a link we email you before you are added, and every email we send includes an unsubscribe link.

We use analytics, if you allow them, to understand which pages are useful and to find and fix performance problems and errors.

We use spam-protection information only to block automated or abusive submissions.

Analytics

Analytics are off until you choose to allow them in our cookie settings. If your browser sends a Global Privacy Control signal, we treat it as a choice not to allow analytics.

If you allow them, we use Google Analytics 4 to understand how the site is used. It sets cookies in your browser, which are listed in our Cookie Policy. We have turned off Google Signals and advertising personalisation.

We also use Azure Application Insights from Microsoft to measure page performance and catch errors. We have configured it not to set cookies.

Our form service records whether a submission succeeded and a request reference number. It does not record your name, email address or message.

Who processes your information for us

We use a small number of service providers who process personal information on our behalf. Their processing takes place in the United States.

• Microsoft: hosts this website (Azure Static Web Apps), delivers contact form messages (Microsoft 365) and provides performance monitoring (Azure Application Insights).
• Google: provides website analytics (Google Analytics 4), only if you allow analytics.
• Mailchimp (Intuit): manages our waitlist mailing list.

No selling, no targeted advertising

We do not sell your personal information. We do not share it for cross-context behavioural (targeted) advertising, and there are no ads on roantek.com.

How long we keep it

We keep personal information only as long as we need it:

• Contact messages: for as long as we need them to respond to you and keep reasonable business records. TODO(legal): state a specific retention period.
• Waitlist sign-ups: until you unsubscribe, or until the product launches and we have told you about it. TODO(legal): confirm the period after launch.
• Google Analytics data: 14 months.
• Application Insights performance data: 90 days.
• Preferences in your browser: until you clear them. Your cookie choice is asked for again after 12 months.

Your choices and rights

You can change your analytics choice at any time with the "Cookie settings" link at the bottom of every page, and you can unsubscribe from waitlist emails with the link in any email.

You can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing admin@roantek.com. We may need to confirm it is really you before we act on a request.

Depending on where you live, privacy laws such as those in California may give you additional rights. We will honour the rights that apply to you. TODO(legal): review which state privacy laws apply and whether additional disclosures are needed.

How we protect it

The site is served only over encrypted HTTPS connections. Access to our mailbox and service accounts is limited to the people who need it. No system is perfectly secure, but we work to keep your information safe.

Children

This website is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, email admin@roantek.com and we will delete it.

Changes to this policy

If we change how we handle personal information, we will update this policy and the "Last updated" date at the top of this page.
